Step 1: Download our template and upload your employee data
To get started, prepare a CSV file with employee data you want to import. We recommend you download our CSV template and add your employee information to the template to simplify the process. Once you've added your employee data, save it as a CSV and either choose the file or drag and drop it into the box on step 1.
If you don't want to use the Humi template you can import your data in CSV, XLSX, ODS, and TSV. This system will try and smart match your columns and field values, but is less likely to match them if you don't use our template.
The following columns are required* in order to import your data:
- First Name*
- Last Name*
- Email* (must be valid)
- Start Date*
- Role Name* (employee, manager, admin)
- Employment Type* (full-time, part-time, contractor, intern, seasonal, consultant)
- Payment Method*
Note: "Reports To" must be a valid email address
The lists below are dependant required fields*. If you upload any of the following fields, the other fields within their associated group are then required.
Banking dependant required fields (all three are required* if any of the three columns are imported)
- Bank Account
- Bank Branch
- Bank Institute
Compensation dependent required fields (these are both required* if any of the two columns are imported)
- Compensation type
- Compensation effective date
Location dependant required fields(these are all required* if any of the columns are imported)
- Address Line 1
- Postal Code
Banking information required if People> Settings - Onboarding General Settings are toggled on. Be sure to turn Banking information required for all employees setting off, if you want to import without your employee's banking information.
Step 2: Match your imported columns to employee fields in Humi
On this step, you need to ensure the columns in your CSV match up with the information that will be displayed on your employee profiles. Below on the left, you'll see the columns you uploaded, and to the right of that, you'll see the employee fields within profiles. We will try and smart match as many of these as we can, but if the field wasn't matched it's going to say Do not import. Click the dropdown to select another option. You can move forward without importing these fields as long as they're not required fields. Required fields will show a blue checkmark if they've been matched, and an empty circle if not matched in the checklist to the far right side of your screen. You can't move to the next step until all required fields are checked off.
If you imported columns that don't exist in Humi (on the employee profile), you can create a custom field by scrolling to the bottom of the dropdown and clicking +Create Custom Field.
From here you can give it a name, placeholder text, role visibility, grouping, validation type, and encryption. If you mark this field as required, you will need to ensure that the values are filled out when reviewing the data on step 4. If you don't want to add these custom fields now, select 'Do not import'. You can always create custom fields from Settings and add this data later.
Step 3: Match your imported field values to employee field values in Humi [Match Values]
On this step, you need to ensure the values in your columns match up with the values displayed within fields on the employee profile. At the top of each box, you'll see the name of the column and below that, you'll see your imported data. We'll do our best to smart match these for you but you'll need to ensure the values correlate. If a value doesn't smart match for any reason the dropdown box will turn red.
Step 4: Review your imported employee records, updates, and errors
At the review step, you'll be given a preview of your import showing the matching work you did on step 2 and 3. The only difference between this review and your spreadsheet is the column names are now named after the Humi fields. The legend at the bottom of the screen showing New Employee, Updating Existing Employee and Error(s) will indicate the work you need to do on this step. If you've got any errors you will need to scan the row and find the field error highlighted in red. You'll have the ability to edit any cell and make changes to value to clean up the errors.
If everything looks correctly mapped hit complete at the bottom right, and you will receive a final confirmation. Hit proceed after that, and your import will begin.
